Course Date Override Feature: Setting Student Course Start Dates Automatically

Welcome to the Course Date Override Feature tutorial! In this guide, we'll explore how to strategically manage enrolment start and end dates that can be automatically for each student based on rules. It works great for cohort enrolments where your learners are enrolling in several courses and you want to sequence the start and end dates automatically based on their enrolment start date.

Why is it called Course Override? When you create a course in Moodle, you set a course start and end date. This becomes a problem when you are not working to set intakes and want students to have start and end dates based on their enrolment date and want this automatically set. For this reason eSkilled created a new Moodle feature called course override. A simple feature that allows you to set dates based on rules.

In this tutorial we will discuss how to use Cohort Enrolments and course override to enrol students into several courses with automatically set start and end dates sequenced so students work through those courses one by one.

SAMPLE CASE STUDY

We have a Workplace Safety Course where we have three units (courses) and we want students to complete these courses one at a time. The course is self-paced over 90 days hence approximate duration of each unit is 30 days.

This case study assumes I have already set up my cohorts to enrol students into the three courses and will focus on setting up course override to set the course start and end dates.

IMPORTANT: When setting up course start and end dates, it is important to understand that a student will not be able to access their next course until the actual start date of that course. For this reason, if your course e=is self-paced and you want students to be able to progress, you will want to allow an overlap of start and end dates for students that progress quickly. In the example we will allow a 10 day overlap. Eg. The next unit will start 10 days before the current unit ends.

Learning Plan Schedule Structure

It is helpful to create your learning plan schedule to make the setup process easier to implement. The table below represents how I will set the override settings in the system.

Delay: The delay sets the start date and is counted from the date of enrolment. Eg if today is 11/10/2024 and I set the delay as 1 day, the students enrolment start date will be 12/10/2024.

Duration: The duration sets the end date. Eg if the duration is set to 30 days and the enrolment start date is the 26/01/2024 the end date will be set 25/01/24 (30 days after the start date)

Accessing the Course Override Feature

To begin, proceed to one of your unit then navigate to the Course menu and select "MORE." This will reveal the Course Override Feature, providing you with the tools to customise delays and durations for each unit upon enrolment.



Setting Delays and Durations

Once you're in the Course Override Feature, you can set delays and durations for every unit within a course.



Practical Example:

Let's consider a scenario to better understand this feature:

·       Unit One: Delay of 0 days, Duration of 30 days


o   Enrol a student or add them to a cohort today (26th Jan).

o   Result: Start date is today, and the end date is set 30 days from today (25th Feb).

·       Unit Two: Delay of 20 days, Duration of 40 days


o   This provides a 10-day overlap for students to transition to the next unit if they finish early.

o   (Take note that the current status is designated as "Not Current." This implies that the status will transition to "Active" once the enrollment start date occurs, granting students access to this second unit.)


·       Unit Three: Delay of 50 days, Duration of 40 days


o   Building on the previous example, creating a staggered timeline for each unit.

o   This is the sample enrolment dates when you go to the Participant’s page and check the student enrolment details:

o   This means that the third unit can be accessed by the student after 50 days.

 

To proceed, it's crucial to configure the Course Override settings for the remaining units before accepting or adding students to the cohort. Additionally, ensure that the cohort sync enrolment has been activated for each unit. This ensures that when students are added to the cohort, automatic enrollment takes place for all units within your qualification.
